HGV Service Planner & Administrator £31,000 basic salary + up to £4,000 bonus Monday to Friday, 8am – 5pm 1 in 4 Saturdays, 8am – 12pm Service, workshop planning and customer-facing role Excellent opportunity for an experienced Service Advisor or Service Administrator Manufacturer KPI and performance bonus Work as part of an established and supportive Service Department We are looking for an experienced HGV Service Planner & Administrator to join a busy commercial vehicle dealership. This is a key role within the Service Department, responsible for ensuring the smooth running of the workshop and providing an excellent level of customer service from initial booking through to vehicle completion and collection. You will deal directly with customers to arrange bookings for routine maintenance, servicing, MOTs and additional repairs, while keeping them informed throughout the repair process. You will also provide essential administrative support to the wider Service and Workshop teams. The Role This is a varied, fast-paced position where no two days are the same. You will need to be organised, proactive and confident dealing with customers, technicians and other departments. Key responsibilities will include: Booking HGVs into the workshop for servicing, maintenance, MOTs and repairs Managing workshop bookings and helping to maximise available capacity Preparing job cards and repair orders accurately Liaising with customers regarding vehicle progress and any additional work required Obtaining authorisation for additional repairs, parts or sub-contracted work Keeping customers updated on delays and changes to agreed timescales Invoicing completed work and MOT tests accurately Costing parts and labour and raising invoices Ordering parts and arranging sub-contract work where required Promoting additional workshop services and repairs where appropriate Carrying out customer follow-up calls to ensure a high level of satisfaction Maintaining accurate vehicle history and service records Scanning and processing completed job cards Supporting general Service Department administration and filing Working closely with the Parts, Workshop and Service teams Ensuring manufacturer and company processes are followed Supporting customer satisfaction and departmental targets Maintaining high standards of health and safety and company compliance About You The ideal candidate will have a proactive, can-do attitude and be comfortable working in a busy commercial dealership environment. You will ideally have: Previous experience within the HGV, commercial vehicle or automotive industry Experience within a Service, Workshop or Aftersales environment Strong customer service and communication skills Excellent administration and organisational skills Good attention to detail The ability to prioritise and manage multiple tasks Good problem-solving skills Technical understanding of vehicles and workshop operations The ability to work accurately to deadlines Confidence dealing with customers and internal departments The ability to work independently as well as part of a team A positive attitude and the ability to remain calm under pressure HGV experience would be advantageous, although candidates with strong automotive or Light Commercial Vehicle experience will also be considered. This is an ideal opportunity for someone with excellent customer service and administration skills who enjoys working in a fast-paced office environment. This is a telephone-based role with no front-of-house customer interaction. Your sole responsibility is handling inbound and outbound calls, booking customers into the workshop, and managing the service diary.
